Respond to manager when you unable to take tasks


Scenario- 
Your manager asked you to work at the reception desk while the receptionist is getting lunch. This involves answering telephones and helping clients who come in. However, you are unable to help out because you have other work.

Dear Smith, 

Following is regarding our latest conversation on the receptionist support during the lunch hours. Due to some of the avoidable priorities, I wouldn't be able to fill in receptionist lunch hours and I am sorry for the same.

Over the last few weeks, I have been allocated many critical activities by the senior leadership, including, but not limited to, business stakeholders meeting planning, prepare meeting agenda, look after meeting of minutes. 
Each of these activities involves several hours of planning in the first half of the day and meeting cited between 12 to 2 PM every day which conflicts with receptionist lunch hrs. And,  post-meeting the meeting of minutes preparation requires at least an hour. I hardly find a free slot to go to the cafeteria for my lunch and most of the time I have my lunch at my desk.

I had a discussion with one of my colleague who is ready to take up this task. Let me know your thoughts? based upon your confirmation I will be sending out another email keeping her in the loop.
